StrataFox operates FoxAudit, an automated compliance analysis service for NSW strata schemes. This policy explains how we handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
When you use FoxAudit we collect:
Your email address — provided by you when submitting documents for analysis.
Documents you upload — for the sole purpose of generating your FoxAudit Report.
Usage data — standard web analytics including pages visited, time on site, and device type. This data is collected in aggregate and does not identify you personally.
Payment information — processed entirely by Lemon Squeezy, our payment provider. We do not store or handle your payment card details.
Feedback — if you leave a star rating or comment after receiving your report, we store the rating, your comment, and the Fox Score associated with that report. No email address or identifying information is stored with your feedback.
Marketing opt-in preference — if you tick the optional marketing checkbox when submitting your FoxAudit, we store a one-way SHA-256 hash of your lowercased email address. We never store your email address in this context; the hash cannot be reversed to identify you, and is used only to honour your opt-in preference for NSW compliance updates.
Your email address is used solely to deliver your FoxAudit report and any transactional communications directly related to your purchase. We do not send marketing emails without your explicit consent.
Documents you upload are used solely to generate your FoxAudit Report. Your source documents — financial statements, AGM minutes, capital works fund plans, and any other files you provide — are deleted from our systems immediately after your report is generated.
Your finished FoxAudit Report is retained for 30 days from delivery, then permanently deleted. The 30-day window exists so we can resend your report if you lose the email or need it re-delivered for support purposes. After 30 days, if you need your report again, you can run a new FoxAudit using your most recent documents.
We do not use your documents to train AI models. We do not share your documents with third parties.
If you opt in to marketing communications, we will send you occasional NSW strata compliance updates by email. We will never send marketing emails without your explicit opt-in, and you may unsubscribe at any time by emailing hello@stratafox.com.au with subject 'Unsubscribe'.
Your email address is stored securely for the purpose of report delivery and refund processing. It is not shared with third parties except as necessary to deliver your report (SendGrid, our email delivery provider). We explicitly disable email open tracking, click tracking, and subscription tracking on all emails sent through SendGrid. We do not monitor whether or when you open your emails.
Source documents are deleted immediately after your FoxAudit Report is generated. Your finished report is held on encrypted storage for 30 days, then permanently deleted by an automated process. No source documents are retained beyond the duration of the analysis itself.
Our service is hosted on Railway (United States). By using FoxAudit you consent to your data being processed in the United States subject to Railway's security standards.
Marketing opt-in records — if you opted in to marketing communications, we retain a SHA-256 hash of your email address for as long as your opt-in remains active. To withdraw your consent and have this record deleted, email hello@stratafox.com.au with subject 'Unsubscribe'. We will delete the record within 30 days of your request.
Under the Australian Privacy Principles you have the right to:
Request access to personal information we hold about you.
Request correction of inaccurate personal information.
Make a complaint about how we have handled your personal information.

FoxAudit uses Google Analytics to collect anonymised usage data. This data does not identify you personally. You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on.
StrataFox collects anonymised aggregated data from FoxAudit reports to improve our services and contribute to public understanding of strata compliance across NSW.
This data includes Fox Scores, category scores, postcodes (where present in documents), document types and counts, and operational metrics such as processing duration. It contains no names, email addresses, SP numbers, document content, or information that could identify you or your scheme.
If you use our demo code, we record your email address to ensure one free report per user. We will only contact you for marketing if you explicitly opt in at the time of your free report. You may unsubscribe at any time by emailing hello@stratafox.com.au.
We may publish aggregated research — such as average Fox Scores by region across NSW. No individual scheme or report is identifiable in any published work.
Where you voluntarily choose to provide it, we also collect general building information — number of lots, number of storeys, approximate year built, scheme type, and management structure. This information is entirely optional and is not required to use FoxAudit. It is used only to improve analysis quality and contribute to anonymised industry research about strata compliance patterns across NSW. Only anonymised aggregate patterns are ever published — individual scheme data is never shared.
